B2B & wholesale fulfillment
Retailers don’t give second chances. One late ASN, one short ship, one wrong label can trigger a chargeback, damage your scorecard, and put your shelf space at risk. ShipMonk runs wholesale as a system of checks designed to keep you compliant, accurate, and out of the chargeback pile, so you can scale into retail without scaling the operational risk.
Trusted by brands that ship to America's biggest retailers
What to expect
You’re not using a 3PL just to move boxes. You’re using one to protect a retail relationship that took years to win. Mid-market and enterprise B2B brands consistently tell us they want four things from their fulfillment partner:
01
retailer by retailer. Routing guides applied without manual coordination. ASNs accurate the first time. No surprises at the receiving dock.
02
into what actually shipped. Photo evidence at every critical moment. Real-time status across consolidated loads. Documentation that holds up when a retailer pushes back.
03
that scales. Separation of duties between picking, packing, and auditing. System gates that prevent bad orders from shipping. Quality control that doesn’t depend on a single person noticing the problem.
04
when something goes wrong. A 3PL that stands behind its fulfillment errors with documented terms, not vague apologies.
Retailers demand precision: on-time delivery, correct configuration, and flawless paperwork. Failure triggers chargebacks, damaged scorecards, and lost POs. Wholesale fulfillment typically breaks at three stages: pre-shipment, order processing, and carrier handoff. ShipMonk’s system hardcodes these failure points out of the process.
Routing guides scattered in emails and tribal knowledge leading to onboarding errors.
ASN errors and EDI coordination gaps between provider, 3PL, and retailer.
Chargebacks for short ships, mislabeling, or expired inventory.
Undisputable transit damage due to lack of documentation.
Excessive manual hours logging into retailer portals and routing orders.
Declining retailer scorecards with no clear recovery path.
$40 billion
Annual financial loss to merchants from retail chargebacks.
2–10%
Average brand loss of total revenue from chargeback penalties.
When you bring a retailer to ShipMonk, we configure them in our backend. For retailers that transact electronically, ShipMonk EDI by Orderful or your EDI setup brings their purchase orders directly into our platform through certified channels. From that point forward, every order auto-classifies under the correct trading partner, and the retailer’s specific packing instructions print at the packing station with the order. Your team isn’t reading routing guides. The system is.
We configure routing requirements at the trading-partner level. Orders auto-classify, so packing teams receive exact, automated instructions every time.
We capture lot numbers, expiration dates, and photo evidence at receiving. Every unit is tracked by lot and location, helping you meet retailer freshness windows and recall requirements effortlessly.
Whether you need FIFO or FEFO, we handle it. Picking is automatically directed to the correct lots, ensuring compliance with retailer freshness windows and preventing rejected shipments.
ShipMonk EDI connects purchase orders directly to our platform. We transmit ASNs in real time during fulfillment—no manual entry. We also support existing integrations like SPS.
A bad pallet leaving your 3PL is a chargeback in waiting. ShipMonk runs every wholesale order through a two-phase audit performed by a dedicated auditor who is separate from the team that picked or packed it. Phase one verifies the contents. Phase two verifies how it ships. The system won’t let an order close until both phases pass.
Cut chargebacks for short ships, wrong product, and unit count errors. Auditors scan every carton against the expected manifest. For mixed-SKU or open cartons, the auditor physically verifies the product, unit count, and condition before the system accepts the pallet.
Avoid damage-in-transit chargebacks and retailer rejection at the dock. Two pallet wrapping photos are uploaded directly through the audit app and stored in our system for traceability. Auditors approve or reject the wrap against documented criteria before the order can proceed.
Catch errors before they ship, not after they cost you. If a pallet fails the audit, a physical “QC Rejected” label goes on it, the rejection auto-posts to the warehouse team, and the order is blocked from closing. No bad pallet leaves the building.
Visibility often vanishes when your product leaves the 3PL. ShipMonk closes this gap with load-level consolidation, integrated freight management, mandatory trailer inspections, visual loadout proof, optional portal management, and financial accountability for our fulfillment errors.
Stop chasing BOLs and tracking statuses across dozens of related orders. Load Management consolidates up to 100 wholesale orders into a single load per retailer. Shipping method, BOL, and routing details are managed at the load level, not order by order. When the load is picked up, every order in it auto-updates.
Reduce contamination risk and protect your FDA standing. For merchants in food, supplements, cosmetics, and OTC, a standardized GMP trailer audit runs in our load out app before product is loaded. Inspection results are stored in ShipMonk systems, replacing the spreadsheets most 3PLs rely on.
Resolve carrier disputes and damage claims with photographic evidence. For every LTL and FTL freight order, loadout photos are taken in the load out app and surfaced on the order detail page once the order moves to Picked Up. When questions come up later, the proof is already there.
Give your team back the hours spent logging into retailer portals every day. As a time-saving service, ShipMonk logs into the retailer’s portal to route orders and download required labels and BOLs, so you don’t have to manage portal transactions order by order.
Puts financial accountability behind our fulfillment errors. Stop bearing the cost of 3PL mistakes alone. When a chargeback is caused by a ShipMonk fulfillment error, eligible orders are credited through the terms of our Perfect Order Program.
Handles end-to-end freight management. As an authorized broker, we manage LTL/FTL moves, carrier sourcing, scheduling, and BOLs through our vetted network. Save time and simplify communication with a single point of contact for all your wholesale freight.

The platform
The workflow above runs on ShipMonk’s proprietary platform: a custom-built Warehouse Management System (WMS), Order Management System (OMS), EDI integrations with major retailers, and real-time visibility for merchants and ops teams alike. It’s the Platform that lets us run wholesale as a system instead of a series of hand-offs.
How do you handle retailer-specific routing guides?
Each retailer you work with is configured in our system during onboarding. From that point on, orders for that retailer auto-classify under the correct trading partner, and retailer-specific packing instructions are printed at the packing station with every order. We don’t ask your warehouse team to remember a routing guide. We build it into how the order flows.
How do you ensure accuracy on wholesale orders?
Every wholesale order goes through a two-phase audit performed by a dedicated auditor (separate from the picker and packer). Phase one verifies the carton-level contents of every pallet. Phase two verifies pallet wrapping, documentation, and retailer-specific requirements. The system won’t let an order close until both phases pass.
Do you support lot tracking for supplements, beauty, or food brands?
Yes. Lot numbers and expiration dates are captured at receiving with photo evidence saved to the record. Inventory is tracked by lot and location through fulfillment. By default we allocate FIFO; for retailers with freshness requirements at arrival, picking can be directed to specific lots to meet those requirements.
What happens if a chargeback is caused by a ShipMonk error?
Eligible orders are credited through our Perfect Order Program.
Can you manage our retailer portals for us?
Portal Management is an add-on service. Our team logs into the retailer’s portal on your behalf, routes orders, and downloads required labels and BOLs.
What categories do you support for wholesale fulfillment?
ShipMonk supports B2B fulfillment across all categories we serve, with particular depth in apparel, beauty and personal care, health and nutrition (including supplements), and food and beverage. For FDA-regulated categories, we run a standardized GMP trailer audit before product is loaded.
Do I need my own EDI provider?
Not if you use ShipMonk EDI by Orderful. Our integration brings retailer purchase orders directly into our platform and transmits ASNs back with carton, pallet, and tracking data captured during fulfillment. If you have an existing EDI provider you want to keep, we can work with that too, but many merchants choose our integration because it removes the coordination layer between their EDI platform and our fulfillment system.
