The Jr. Executive Assistant/Back Office Manager is a centralized dual-role that assist the entire office as well as the executive staff. This is a key role that often serves as a first point of contact between the company and internal/external partners.

Responsibilities

  • Acts as the point of contact among executives, employees, clients and other external partners
  • Manage information in a timely and accurate manner
  • Manage executive’s calendars and meetings
  • Booking and organizing executive’s travel
  • Maintains customer confidence and protects operations by keeping information confidential
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Maintain the office condition and arrange necessary repairs
  • Organize the office layout and order stationary/equipment
  • Organize office operations and procedures
  • Scheduling office meetings and appointments
  • Maintaining booking schedule of meeting space
  • Serves as the point person for Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping, etc.
  • Partner with HR to update and maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Assist in onboarding process for new hires
  • Plan in-house or off-site activities (e.g., parties, celebrations and conferences)

Requirements

  • Excellent MS Office and G-Suite knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
  • Excellent verbal and written communication skills
  • Discretion and confidentiality
  • Attention to detail and problem solving skills
  • Familiarity with email scheduling tools
  • High School Diploma or equivalent (Required)
  • Location near Fort Lauderdale, FL (Required)
